Great care should be taken when approaching your employer with your letter of resignation. Regardless of how poor your experience may have been while working for a company, all resignations should be handled in a professional manner.

While searching for a new job, it is highly recommended that you complete a resignation letter. This letter does not need to be long or detailed but should contain a brief paragraph that mentions that you have submitted your resignation, the date you will be leaving your position, and a request for a letter of recommendation.

While some companies may not be too interested in your resignation, a professional approach is important. You could even offer to fill in any information that your employer is missing when it comes time to search for a new employee. This is like how a new employee applies for a job: provide all the information necessary, except what they don’t want to hear.

As you sit down to write your resignation letter, there are certain questions you should ask yourself.

Why do I need to write a resignation letter? Am I ready to leave my current job?

If you are planning to leave your current position within a few months, you should write the letter now to give yourself enough time to get over the emotional reactions and prepare yourself for the move.

Even if you’re happy and excited to leave your current job, you still need to let your employer know that you are leaving. This allows them to move on knowing that you are not planning to stay and gives you the opportunity to leave knowing that you took the right decision.

What do I want to leave my current position for? Am I willing to move?

If you are leaving because you are not happy with your current situation, the written resignation letter is your notice to leave. However, sometimes a written resignation can be too much of a reward as well. Sometimes, it is best just to leave on good terms for the sake of leaving.

Questions to Ask Before Writing a Resignation Letter

How long have my employers had this position? This is important because it allows you to find out how unhappy they are with the job.

How well is my job going? This is great because it allows you to find out how well your boss and coworkers are getting along with each other.

How available are they? If they are your bosses, this is a great sign that they can pick up a call and say, “I really enjoyed working here. I’m not sure what I’m going to do, but I wanted to thank you for the opportunity to work here. I miss you.”

How well does the company want to keep me? Even if they are not actively hiring, being kept in the know that you are expected to be retention is very flattering.

How unrecognized are you? If your company is a small one, they most likely do not have a personnel department.

How diverse is the company? A smaller company typically has a harder time recruiting new employees, making your resignation letter a very necessary task.

How unrecognized is retained? If you were fired, that company may not have given you any notice at all.

What does the company do well? This is where they advertise for your position; it may be part of the benefits of your employment.

What does the company need to do to be competitive? Based on their mission statement, they may be looking for a person just like you.

What does the mission statement represent? This is also very important. It lets them know that they are committed to achieving the goal they are tasked to accomplish.

The written resignation should be complete in short order, and neat and formal. Resignation letters do not have to be elaborate or be written formally; but keep the atmosphere positive and respectful. Use your resignation letter to express you thanks to the company for providing you with the opportunity to work for them, and to let them know that you have enjoyed the experience.

While writing your resignation letter, you will be bankrupt to show your outpouring of feeling for the company. Be sure to let them know that this is a sincere and genuine gesture, and endeavor to be polite and courteous always. Since you will be leaving as soon as you return, do not allow a big project like returning to work to steal the focus from your decision making.

The oral resignation is more than simple expressing opinions. The key is to transition out of the office as quickly as possible. And follow up is extremely important. If you wait until you receive a formal notice, you may find that your unplanned working hours increase and your ability to concentrate is compromised.

While you should be thankful for your work, being polite and appreciative for the experience during your tenure as an employee, does not mean you should disperse.
